Cookie and privacy policy

At Nordhusene, we respect and protect our users' privacy, and we feel obliged to be as transparent as possible regarding the use of your personal data.

 

  1. Introduction

This policy describes how we use and protect personal data and is intended to ensure that employees are aware of the rules that apply to the use of the personal data to which they have access in the course of their work.

This policy aims to meet the requirements of the General Data Protection Regulation, including in particular Article 13.

Where the policy refers to articles of law, this refers to the General Data Protection Regulation, and where there are references to sections, this refers to the Personal Data Act.

 

  1. General information about the processing of personal data

Any processing of personal data in our company is carried out in accordance with the principles of lawfulness, fairness, and transparency. Personal data is collected solely for explicitly stated and legitimate purposes, and we observe the principle of data minimization. We strive to ensure that all information is accurate and up to date, and we place great emphasis on the principles of storage limitation, integrity, confidentiality, and, not least, accountability.   1. DATA CONTROLLER

Nordhusene is the data controller, and we ensure that your personal data is processed in accordance with the law.

 

  1. Purpose of processing; categories of data processed

The purpose of processing personal data can be varied, but the following examples are the most common. If, in exceptional cases, we need to process personal data for purposes that are incompatible with those listed below, you will be informed accordingly. The same applies if we collect or process personal data from parties other than you.

  • follow-up on rentals.
  • communication in connection with your lease or other inquiries to us.
  • ensuring user-friendliness and safety.
  • optimization of our digital solutions.
  • opportunity to participate in customer surveys, competitions, prize draws, etc. via digital solutions.
  • Joint events and communication tools

 

4.1 WHAT DATA IS COLLECTED

We use data about you to fulfill our agreement with you, improve our service, and ensure the quality of our solutions. The personal data we process includes:

4.1.1 Automatically collected data

We have a range of digital solutions based on different technologies with the aim of ensuring user-friendliness and security. These technologies can automatically collect data in order to offer the best possible solution, either directly by us or by a third party on our behalf.

Every visit to a digital solution involves sending information from the browser you are using to a server. We optimize our digital solutions by analyzing this data. Data is collected via third parties on our behalf. Data about your browser may be collected to administer our system and perform internal marketing-related analyses based on your behavior. Examples of data that is collected and analyzed:

  • date and time of visit
  • the pages visited in the solution
  • The IP address you are using
  • Geographical location of the IP address
  • information about the browser and computer used (type, version, operating system, etc.)
  • URL from referral site (the page from which the visitor came to our solution)

We use external data providers who act as data processors for us. We are data controllers for the data collected, and the data collected will not be disclosed unless consent has been given or there is a legal requirement to do so.

 

4.1.2 Information you provide yourself

We naturally record the information you provide us with in connection with a physical meeting or a visit to our website.

Examples of data that you actively provide are usually common and include your name, address, telephone number, email address, etc., and most often originate from:

  • Information you share with us via social media
  • Information sent by email
  • Information we receive from you in connection with open houses, events, and joint events
  • Information you share with us when you participate in surveys, events, and contests

  1. Basis for processing

Personal data is mainly processed on the basis of Article 6.1.b, as processing is necessary for the performance of contractual obligations between us. Certain information, including sensitive information, is processed to the greatest extent possible on the basis of consent, see immediately below.

 

  1. Recipients and disclosure of personal data

We only disclose personal data to third parties in accordance with the provisions of this privacy policy.

 

We may disclose your information if we are required to disclose or share it in order to comply with a legal obligation. Disclosure may also occur at the direction of a court or other authority, or to protect trademarks, rights, or property. This includes exchanging information with other companies and organizations for fraud protection purposes.

We use service providers and data processors who perform work on our behalf. These services may include server hosting and system maintenance, analysis, payment solutions, address and credit checks, email services, community apps, etc. These partners may access data to the extent necessary to provide their services. The partners will be contractually obliged to treat all data as strictly confidential and are therefore not permitted to use the data for any purpose other than that covered by their contractual obligation to us. We check that our partners in data processing comply with their obligations. If we disclose your information to a service provider or data processor outside the EU, we ensure that we comply with the legal requirements for such transfers. We never collect personal data without you having provided us with this information yourself when registering or participating in a survey, etc.

 

  1. Retention period and deletion policy

We store information about you for as long as we have a legitimate and factual basis for doing so, including so that we can provide you with the best possible service.

As a general rule, all personal data will be deleted five years after the end of the customer relationship, meaning the last active transaction. Personal data may be stored for longer if there is an objective need to do so, for example if a legal claim needs to be established, enforced, or defended, cf. Art. 17.3.e. However, cookies, cf. section 4, will be deleted no later than 12 months after use.

 

  1. Right of access, rectification, and erasure (Art. 13.2.b, Art. 15)

You have the right to request access to the information we process. The information you can request is, where applicable:

  • that personal data is processed
  • what is being treated
  • the purposes of the processing
  • the categories of personal data concerned (ordinary or sensitive)
  • the period during which they are processed, including storage
  • the right to
    • request correction or deletion
    • file a complaint with the Data Protection Authority

You have the right to have incorrect information about yourself corrected without undue delay. You must take the initiative for such a correction yourself.

You may also request to be deleted ("the right to be forgotten"), but only after the expiry of our statutory retention obligation under the Accounting Act. You may also contact us if you believe that your personal data is being processed in violation of the law or other legal obligations.

When you submit a request to have your personal data corrected or deleted, we will investigate whether the conditions are met and, if so, make the changes or deletions as soon as possible.

 

  1. Data portability and profiling

You have the right to receive the personal data you have provided to us and the data we have obtained about you from other parties based on your consent. If we process data about you as part of a contract to which you are a party, you can also have your data sent to you. You also have the right to transfer this personal data to another service provider. 

If you wish to exercise your right to data portability, you will receive your personal data from us in a commonly used format. We do not generally engage in profiling, i.e., automated decisions for use in analyses or similar purposes.

 

  1. CONSENT

Where consent is required as a basis for processing, we must be able to document that such consent has been obtained. We therefore always require written consent.

Consent is a voluntary, specific, informed, and unambiguous expression of will regarding the processing of personal data. You may withdraw your consent at any time, and if it is the sole basis for processing, future processing will cease. However, our storage obligation and right remain unchanged.

  1. COOKIES

11.1 What are cookies?

Cookies are small text files containing letters and numbers that are placed on your computer or other device. Cookies are set when you visit a website that uses cookies and can be used to keep track of which pages you have visited, help you continue where you left off, or remember your language settings or other preferences. No personal information is stored in our cookies, and they cannot contain viruses. 

If we place cookies, you will be informed about the use and purpose of collecting data via cookies. At the same time, you will be asked to give your consent. However, cookies that are necessary to ensure functionality and settings may be used without your consent.

 

11.2 Types of cookies and their purposes

Some of the cookies we use on our website are owned by third parties. Nordhusene uses retargeting cookies ("pixels") from Instagram, Facebook, and LinkedIn. These pixels are used to compile statistical analyses and perform profiling for direct marketing purposes. Cookies in this area are marketing cookies.

Nordhusene also uses Google Ads conversion tracking. Google's conversion tracking provides us with information about whether the traffic we purchase from Google's search engine is having the desired effect. When we/you use these services from Google, their cookie rules apply.

We also use Google Analytics to collect statistics on our website. The primary purpose is to gain insight into our users' behavior on the website in order to optimize the content for the benefit of our visitors. 11.3 Delete or disable cookies in your browser

You can always reject cookies on your computer by changing the settings in your browser. Where you find the settings depends on which browser you use. However, you should be aware that if you do so, there are many features and services on the internet that you will not be able to use.

  1. SAFETY

We protect your personal data from being destroyed, lost, or altered, from unauthorized disclosure, and from unauthorized access or knowledge. 

In the event of a security breach that results in a high risk to you of discrimination, identity theft, financial loss, loss of reputation, or other significant disadvantage, we will notify you of the security breach as soon as possible, as we have a statutory duty to report such breaches.

  1. Complaints (Art. 77)

Any registered person has the right to lodge a complaint with the Data Protection Authority regarding our processing of personal data.
